PIKEHAND WEEKEND 2016 MINUTES

Jeff opened the meeting and listed all those present who were: Alan, Bob, Bryan, Graham, Jeff(chair), Jim, Joe(Vice Chair), Keith and Pete.

Minutes of the previous minutes were not available at the meeting. They were on Bob's laptop and had been circulated to all Pikes soon after they were first prepared. However this did not hinder the meeting.

The treasurer roported that there were eleven monthly subscribers to our funds. Additionally lump contributions had been accounted in the totals. So our funds were healthy. It was agreed that no increase in contributions was required. The main reason was that accommodation cost were minimal at the three previous weekends.
Bryan reported that final costs for this year's weekend were £3,329.

  • Family Party
    1. Jeff would email the family informing the date as 10th September 2016. Start time between 12.00 to 2.00pm depending on activities
    2. Fish and chips from a van was considered a labour saving idea. (Alternative food to be sourced for Alan, Joe and other veggi or non-fish people). Pete would investigate the costs, how long serving will take, quantities required and selections available.
    3. Jeff will approach Nina and Fiona and others to become an activities group to create games and activities for all ages as well as running and managing the running the events on the day. Activities already suggested, "Game of Stones," (A physical family tree) to be hosted by Ray/Vera and beer/sweetie pong depending on age groups hosted by Joe.
    4. Pete has agreed to create the Pike song to celebrate, prematurely, forty years of Piking.
    5. Pete has also undertaken to check out local beer providers. Other drinks being wine and soft drinks with lots of water (because it's going to be a hot Indian summer).
    6. Jeff is very concious not to lumber Pete and Sal with party chores and will delegate beforehand and during the day, rubbish collection, especially glass, washing and general tidying up at the end etc..
    7. Jeff is aiming to have party food with minimal preparation
    8. Alan has possession of the family box. He will email Jeff with a list of its contents.
    9. With Joe as Chair in 2017, Alan and Claire have agreed to host next year's party at their house. It was agreed that summer was a good time to hold the family party and would reflect on this year's September date being slightly later than usual.

It was unanimously agreed to launch the family website which Bob has compiled. Bob to inform Pikes of potential costs and set-up. It was agreed to host the website for 6 months to receive feed back from users. Bob will be in touch with the family in due course.

Who has the Family Memories Chest? Present holder to bring it to the Party and placed in the possession of the chairman Joe 2016/7.

In future the incumbent Chairman will email the whole family that an AGM is to be held (usually at end of Pikes weekends), so that Family members other than attending Pikes can put forward suggestions and questions for discussion.

Pike Weekend 2017 organisers were selected from fewer than usual as there were so many decliners. Richard and Bryan were picked from the hat with reserves Bob, Jim and Graham. Richard subsequently declined so addendum here confirms that Bob and Bryan are definitely going to organise Pike Weekend 2017.

This years Pikes Weekend Organisers: (Jim and Bryan) were thanked for a successful and varied weekend (zip wiring through to Pottery) and even organised some sun in North Wales!!!

The meeting was wound up. Pikes not staying packed and headed for home.
